Leaders do not need a robot to “know how the team feels.” They need a faithful, name-free account of what people said, grouped so a Monday meeting can choose. That is a narrow job. Most “AI HR” products fail it in one of two ways: they over-smooth until the vent becomes a slogan, or they over-identify until the vent becomes a case file.
What good looks like
| Job | Do | Don’t |
|---|---|---|
| Language | Professional cleaned transcript of the same facts | Invent calm that was not there, or keep slurs |
| Identity | Themes and org-level morale | Stitch vents into a person, a desk, a minority of one |
| Action | Suggested next step a manager can take this week | Generic wellbeing posters and “consider communication” |
| Evidence | Show the cleaned words behind the theme | A dashboard of emojis with no transcript |
Vent IT’s analyser is instructed to rewrite cleanedTranscript in professional language and never echo swear words from the raw input. Owners get that transcript, a sentiment score, concerns, and categories. They do not get a submitter UID. That is not a missing feature. That is the product.
Surveillance is a different architecture
If the model is used to rank individuals, flag “flight risk” on a named record, or reconstruct who spoke from metadata, you have left listening and entered monitoring. Psychological safety collapses. APA’s 2024 data is directional here: people who cannot raise issues without punishment are far more likely to call the workplace toxic. AI that hunts speakers is how you buy that outcome on purpose.
- Do not store raw audio longer than you need to transcribe.
- Do not put identity next to the transcript in the leadership view.
- Do not let a chatbot “search who said X.”
- Do publish themes back so people see the model served them, not the org’s curiosity.
Practice the filter in public
Members should hear, once, what an owner would see. That is why Vent IT offers a short practice vent: shout, swear, name-call — then read only the cleaned transcript. Trust in the model is not a policy PDF. It is a demo of the rewrite.
